A pharmacy UPI looks a lot like a shop payment. The SMS may show a person's name, a medical store, or a lab, and it is easy to file it as groceries because you bought it on the same street. That hides a health cost inside food, so you cut vegetables when the real change was medicine or a blood test. Kharch Log reads the SMS into your Google Sheet with no bank login. You still choose the category. Health is the right line, even when the amount feels too small to bother.
Split medicine, labs, and consults
Split health into medicine, tests, and consults in the note, even if the category is one word. A strip of tablets is not the same as a lab package, and a doctor fee is not either. You will want that split when you look back at the year, or when you renew a policy and need a rough history. The payee will not say which is which. You write medicine, lab, or consult. Do it the same day, because a chemist name and a lab name can look identical in a short SMS.
Family members belong in the note: self, parent, or child. A parent's monthly medicine is support as well as health, but do not hide it in a generic transfer if you want to see it. If you already send a fixed amount home, a separate chemist bill is still its own row. Combining them makes the fixed support look like it jumped. Cash at the chemist is common for small strips. Type it under health the same evening, and do not use the grocery category. Kharch Log will not see the notes in your hand.
- Note medicine, lab, or consult on the day you pay
- Add self, parent, or child so a family bill stays clear
- Chemist cash is health, typed the same evening
- Do not fold a parent's medicines into a fixed home transfer
Lab bills without turning the Sheet into a clinic file
A lab bill is often larger than the medicine and easy to misfile as misc. It is still health. Log the amount, the lab name if you know it, and a plain reason you are comfortable writing. You do not need a diagnosis in the Sheet if the file is shared. The word lab is enough. If a spouse can open the Sheet, agree how much detail belongs there. The Google file permissions are your privacy control. The expense app does not need the report PDF.
Packages that include several tests should stay one row if you paid once. Do not split a package into imaginary lines you cannot price. If the lab refunds one test, that credit is a health refund matched to the original row, not income. Doctor consults paid by UPI to a personal name need a note or they become friend transfers. Write clinic and the month. Follow-up visits in the same month are separate rows so you see the pattern. A single merged health total cannot tell you whether a cheaper lab is worth asking about.
Keep the food cap out of a sick month
The chemist and the grocery shop can be on the same street and even the same evening. They are still different categories. If both share one number, a month of medicine looks like you overspent on food, and you will make a useless meal plan. Filter health and groceries separately. The food cap should not move because someone was ill. The health line is allowed to spike. Notice a spike that repeats, such as a refill you could plan, versus a one-off test.
A bill you pay and later claim should be marked reimbursable. When the money comes back, match the credit to that row. Until then it is still cash that left. Do not label the payout as salary. A yearly policy premium is not this category. Premiums are insurance, logged on the day you pay them. Mixing a premium and tablets makes both numbers useless. Kharch Log can hold both in one Sheet if the notes differ. Write claim pending so a Sunday review does not treat it as a finished loss.
- Groceries and health stay separate even on the same evening
- A one-off lab does not reset the food cap
- Claimable bills stay marked until the credit arrives
- Yearly premiums are insurance, not tablets
Read the health total before salary
Two days before salary, filter health for the month. If it is a normal refill month, the rest of the salary plan can stand. If a lab made it large, change this month only, and do not cut the grocery cap as if food caused it. Write the reason in the header. Next month, if the reason is gone, the total should fall. If it does not fall, a row is mislabelled or a new refill started. That check is shorter than rereading every SMS.
Keep a running note of regular medicines and their usual monthly cost. When the SMS matches, you are done. When it is double, you may have bought early or for two people, and the note should say so. This is bookkeeping, not medical advice. It stops a planned refill from looking like a leak. Emergency months can sit outside the average you use for a normal month. The average of three quiet months is the number to set aside. The emergency month stays in the Sheet so you do not pretend it never happened.
Questions people actually ask
Should vitamins from a grocery order count as health? If you bought them as a regular supplement, file them as health so groceries stay about food. If they came inside a mixed grocery order, you can leave that order in groceries rather than invent a split. Be consistent for the refill you repeat every month. A monthly vitamin UPI hiding in misc will look like a new leak whenever you sort misc. One label ends that.
How do I log a hospital deposit? Log the deposit as health on the day it leaves, with deposit in the note. When the unused part returns, match that credit so only the net stays as the cost. Do not spend the refund as if it were income. If the final bill arrives later, log the extra as health too. The net of deposit, refund, and final bill is the episode.
Can I track a parent's chemist bills I paid? Yes if you paid them. Use health and the parent's name in the note. It is your outflow. Keep the health label even if you also mark it as family support. Their bills are not your groceries. If they paid and you did not, it is not your row. Their chemist SMS stays on their phone unless they also capture into a Sheet you share.
File chemist and lab UPI under health, not groceries, and type the cash the same evening. A daily capture habit is outlined in daily expense habits. What the app stores is on the Kharch Log features page. A one-off test should not reset your food cap. Before salary, read the health total once and write why it moved.
