Rent is usually the largest UPI of the month, and it is the one people are asked to prove later. A landlord or an office claim may want the month, the amount, and a reference, not a gallery of screenshots. The bank SMS already has the date, the amount, and a payee string. Kharch Log can copy that alert into your Google Sheet. There is no bank login. The SMS does not know which month the rent covers, or whether maintenance was included. You add those words in the note the same day.
Write the month on the rent row
Use a Rent category. In the note, write the month covered, the landlord name, and whether maintenance is included. The payee in the SMS may be a nickname. Do not edit the amount or the date that came from the bank. Add the detail beside them. If you pay on the 5th for the current month, say so. If you pay on the 30th for the next month, the note matters more than the SMS date. A September debit for October rent is confusing with no words attached.
Copy the UPI reference into the note if the SMS includes it. That string is what matches a bank statement later. You do not need to retype the whole alert if the reference and amount are already stored. Kharch Log keeps the SMS text in your Sheet, so the note is the human part. Do not paste the entire message again. A short note is what you will read. The stored SMS is what you can search if someone challenges the payment. Keep both, and keep the note short.
- Month covered, landlord name, rent only or rent plus maintenance
- Leave the bank amount and date as the SMS sent them
- Keep the UPI reference if it is in the alert
- A short note beside the stored SMS, not a second copy of it
Deposit, maintenance, and fees
A rent deposit is not this month's rent. Label it deposit, and note if you expect it back at move-out. If you treat it as rent, this month looks impossible and later months look strangely cheap. Society maintenance paid on its own is housing, but it is not rent. A separate note shows a rent hike and a society hike as different events. If one transfer includes both, write both amounts in the note. Those amounts must add to the SMS. If they do not, the note is a story, not a record.
Late fees and a broker fee are not rent. A broker fee is a one-time moving cost. A late fee should stay visible so it does not hide inside a higher rent. Power or water you add into the landlord UPI needs a note that says so. Otherwise the home total and the utilities total will both be wrong. If you pay the board yourself, that row is utilities, not rent. The category follows why the money left. The note answers what someone would ask next year.
When the payee is not the landlord's name
Landlords often collect on a relative's UPI. The SMS will not say landlord. Your note will. Do not send a full rent to a new ID just because a chat message changed. After a trusted payee is in the Sheet, a new name is a reason to pause. Put the trusted name in the header of the month tab. If this month's SMS differs, confirm before you call it rent. A rent label on the wrong transfer is a bad record. Reading the payee is the pause that catches it.
If you share a flat, the person who pays the landlord logs the full rent. The others log their UPI to that person as a transfer, not as a second rent. Otherwise the flat records the rent twice. The payer's note can say full rent, shares due. When their UPI arrives, match it in the note. Your cost is the full rent minus what came back. If you each pay the landlord directly, each SMS is your share, and there is no second row. Agree the method on day one. The app will not know the floor plan.
- Confirm a new payee before a full rent leaves
- Trusted landlord name sits in the month header
- One payer logs full rent, others log transfers
- Or each person logs only the share they paid the landlord
A year of rent you can actually filter
Once a quarter, filter Rent and check that the notes cover every month you paid. A missing month is unpaid, paid in cash, or paid from another phone. Cash rent still needs a row with the month and the name, typed that day. Another phone means that phone's SMS has the proof. Copy the row into the shared Sheet if it is household rent. Do not wait for a dispute to assemble this. A filter with the month name in each note is the list you can show. Chat screenshots usually miss a month.
When someone asks, share the filtered rent rows, not your whole year of other spending. A Sheet filter on category and dates does that. Include date, amount, payee, and your note. The Sheet is your payment record of what left your account. If a signed receipt is required, ask the landlord. Do not pretend a spreadsheet is a stamped receipt. It still answers when, how much, and to which name. That is the gap when all you have is a memory of a balance drop.
Questions people actually ask
I pay rent in cash. What should I store? Yes, type a row. There is no SMS, so the row you type is the whole record. Write the date, amount, month covered, and landlord name the same day. If they sign a slip, keep it, but still type the row or the yearly filter will skip that month. The app cannot see cash. A rent habit that lives only on paper fails the month you misplace the slip.
Does rent belong in my spending total? Yes. It left your account and it is housing, not a transfer to your future self. Keep it in its own category so it does not swamp groceries when you look for leaks. A total that excludes rent looks comfortable and then fails when the debit hits. Compare salary with a total that includes rent. Hunt food leaks in a view that excludes it.
I transfer rent to my spouse, who pays the landlord. Which row is rent? Your transfer to a spouse is not rent until the landlord is paid. Log that UPI as a transfer. The phone that pays the landlord logs the rent. If both rows are labelled rent, the household doubles the cost. One shared Sheet makes this easy to see. Keep the internal UPI labelled transfer, with the month in the note.
Write the month and the landlord in the rent note the day the UPI leaves, and keep the bank reference in the Sheet. A Sheet you own is compared with budget apps in Sheets versus budget apps. Capture details are on the Kharch Log features page. Once a quarter, check that every paid month has a note.
