School fees, books and bus: term payments in the Sheet

2026-09-23

Term fees, bus, books and annual charges hit in a cluster. Split them in your Google Sheet so a fee month is a plan, not a shock you blame on groceries.

School fees, books and bus: term payments in the Sheet

School money does not arrive as one fee. A term tuition UPI, a bus pass, a uniform shop, books, and an annual charge can land in the same fortnight, often from different accounts in the family. If you file all of it as misc, you cannot tell which line will repeat next term. Kharch Log on Android can catch the UPI and bank SMS into your Google Sheet without a bank login. Cash at the book stall still needs a row you type. The point is a term total you can see before you promise the next class.

Split the school payment into real heads

Do not dump the whole school demand into one row called fees when the receipt lists several heads. Tuition, bus, lab, and annual charges repeat on different schedules. A bus line you can drop in the holidays is not the same decision as tuition. If one UPI paid the portal, split the note into the heads you actually bought, with amounts that add back to the SMS. Put the child's name and the term in that note. Next year the payee will still look like a gateway. The note is how you tell books from fees.

Annual charges and admission fees are not a monthly leak. They belong to the term or the year in the note, so a single expensive week does not convince you that your food budget is broken. If the school lets you pay in two parts, log each part on the day it leaves, and write 1 of 2 in the note. Do not log the full year on day one and again on the second debit. Uniforms and shoes are school costs, not groceries. Kharch Log files the SMS. You add the head that the SMS cannot know.

Books, bus, and cash at the stall

Books and uniforms are where cash returns. The stall may take UPI for a set and cash for a cover or a label sheet. Log both, same day, school category, with the term in the note. A bus pass paid monthly is its own school cost. Keep it separate from the annual fee so you can see it when the route changes. If grandparents pay the fee and you only buy books, log your books, not their fee. Their payment is not your expense. A transfer you send to thank them is family, and it is a different row.

Tuition classes outside school are not the school fee. Put coaching, music, or a sport in its own note so the school total stays comparable next term. Many of those teachers take UPI to a personal name. Label it the first time or it will sit with friend transfers. Ask for the month covered, and write the month in the note, because a double payment is common when the reminder is on WhatsApp and the SMS is easy to miss. If you pay for two children, use two notes, even when one UPI combined them. Combined rows make one child look free.

Keep a term plan in the same Sheet

You do not need a second spreadsheet for school. A filter on the school category, plus the term in the note, is the calendar. Before the term starts, list the expected heads and rough amounts in the header: tuition, bus, books, uniform, annual. As SMS arrives, you are matching a plan, not discovering a crisis. If a head is missing in the last week of the deadline, you still have time to move money. Kharch Log will not know the school calendar. You type the expected list once. The payments fill themselves when they are UPI.

Sibling households should add a child name in the note, not a new file per child. One Sheet keeps the SMS stream intact. When you compare this term with the last, sort by note and ignore one-off admission if you are looking at a normal term. Admission years are labelled so they do not become the budget. If fees jumped, the note from last term shows which head jumped. That is the useful detail, not a vague sense that school is expensive. Store the receipt number if the portal gives one. It helps when a payment shows failed and the school says unpaid.

Clear the fee week on purpose

On the week fees are due, clear school rows first, before you look at food. Confirm each expected head is either paid or still scheduled. A gateway SMS with no note gets a note the same day, while you still have the portal screen. If you paid from another phone in the family, that SMS is on that phone. It still belongs in the same Sheet when you share one ledger. Do not pay the fee twice because the first SMS looked like a person rather than the school. Read the amount against the demand slip.

After the deadline, write the term total at the top: fees, bus, books, other. That is the number to plan for next term, inflated a little if you know a hike is coming. Divide by the months until the next demand if you want a monthly set-aside, but still log the real UPI on the day it leaves. A set-aside is a transfer to yourself. The fee is the expense. Mixing those is how people think they spent the fee twice. The lifetime unlock for Kharch Log is ₹149 once, and it does not replace the school portal.

Questions people actually ask

Should school fees sit inside the monthly budget? Keep the cash outflow in the month it left, because the account really dropped. Also keep a term note so you do not treat that month as your new normal. A monthly set-aside in earlier months can be a transfer into a fee buffer. When the fee UPI goes out, the expense is the fee, and the buffer movement is not a second fee.

The portal payee is a person's name. Can I label it school? Many schools collect on a personal UPI or a trust name you do not recognise. Match the amount and the date to your demand slip before you label it. Once it matches, put the school name in the note so the next term is obvious. If it does not match, do not guess. Hold the row until you check the portal. A wrong school label hides a mistaken transfer.

What if the fee failed but the SMS shows a debit? Wait for the reversal SMS before you call it a loss. A failed portal payment often debits and credits the same day or the next. Log the debit as school only after it stays. If a credit arrives, match it to that debit so the fee is not counted. Pay again only when the portal still shows unpaid and the money has returned.

Split the school UPI into fee, bus, and books in the note, or next term will look like one lump again. Salary weeks and EMIs sit beside this in the salary cycle guide. The Kharch Log features page shows where those SMS rows land. Keep cash bookstall rows in the same category, and write the term total once the deadline has passed.
